How to use it

Bulk label generator: a practical guide.

  1. Prepare a small sample

    Start with name, data, and type columns. Keep identifiers as text so spreadsheets do not remove leading zeros. Try a few rows before preparing the complete run.

  2. Choose rows or a numbered range

    Paste CSV for existing inventory, or use a prefix, start number, count, padding, and suffix to create a sequence. Review the format and value of the first and last label.

  3. Export the right output

    Use PDF for a label grid, PNG ZIP for individual image files, and CSV for a manifest of the generated values. Print at the intended size and scan a sample before applying labels.

Choose what the identifier represents

An item type, an individual serialised asset, and a shelf location are different things. Decide which one each row represents before creating a sequence. A readable label is only useful if the receiving inventory system maps that value to the right record.

Avoid spreadsheet surprises

Treat UPCs, GTINs, and zero-padded identifiers as text. If a spreadsheet has already removed leading zeros or converted a long number to scientific notation, exporting it to CSV will not recover the original value. Review the source data before generation.

Purchase or manage Pro or Business in the ScanAtlas app, then sign in to the website with the same ScanAtlas account to check access. The web tool displays the available plan before premium exports; it is not a separate free bulk service.

Is bulk generation free?

No. Pro and Business include batch creation and PDF, CSV, and PNG ZIP export. All single-code formats and styling are free, so you can test an individual label first.

Can I generate sequential asset numbers?

Yes. Use a numbered range with a prefix, starting number, count, zero padding, and optional suffix. Confirm that the generated range will not duplicate identifiers already in use.

Does the PDF match every label printer or sheet?

The tool provides configurable label grids, not a guarantee for every printer stock. Check paper size, columns, print scaling, and alignment using a plain-paper sample first.
